The Best Show in the Gear Industry

Here you'll find the information necessary for selecting your exhibit space for the Gear Expo 2013 in Indianapolis. As a valued Gear Expo exhibitor, you'll have the opportunity to select your exhibit space for the next show at priority space selection meetings during this year’s show. You can expect more than 85 percent of the 2013 show floor to be sold out during space selection at this year’s event in Cincinnati, so make sure you get your booth reserved onsite.

By attending space selection at the 2011 show, you will have the advantage of securing prime space BEFORE it is available to our general pool of prospects and you'll also be able to:

  • Select your company’s location and see the locations of other exhibitors’ booths
  • Secure a discounted exhibit space rate for 2013
  • Cancel your space in writing with NO financial penalty up to December 31, 2011

Exhibitors have been assigned specific meeting times during show hours based on each organization's accumulated priority points. All space selection meetings will be held in the sales office located in lobby C in front of the 100/200 aisles.

A Few Important Points Regarding Space Selection

  • All prime exhibit space will be assigned at the priority space selection meetings. By attending your scheduled meeting time, you ensure your organization will get the best booth location for Gear Expo 2013.
  • It's important to choose your space during your designated time slot. If the booth location you want is unavailable, please select an alternate location. We will do our best to accommodate your requests throughout the year via a “better-booth wait list” which will offer any better booth locations to exhibitors on this list.
  • An authorized representative from your organization MUST attend your space selection meeting. If an authorized representative will not be attending the show, please have the proper person sign the contract BEFORE you come to your space selection meeting.

How Does the Gear Expo Priority Point System Work?

Points are accumulated over the history of the show.

1 POINT is awarded for each 10’ x 10’ paid booth for every year as a Gear Expo exhibitor (starting with the 2009 event).

2 POINTS are awarded for participation in a sponsorship at Gear Expo 2011.

NOTE: In case of a tie, priority position is based on the date the contract was received at National Trade Productions, Inc., with early contracts being given higher priority. For contracts received on the same date, priority is based on the date that the organization paid in full.

Only current exhibitors may use their point total in the space draw. Historical exhibitors may choose space only after all current exhibitors have received the opportunity to choose.

Points are considered an asset of the exhibiting company. In the case of a merger or purchase, the purchasing company must provide written proof of their purchase of the assets of that company. If AGMA approves, the priority point system provides for the selection of the best exhibit history year-by-year. At no time, however, does the system allow for the combination of two or more companies’ points. Please refer to the example below.

Example: Company A acquires the assets of Company B

2009 2010 2011 2012 Total
Company A 14 18 19 20 71
Company B 12 16 20 21 69

The underlined points represent the best exhibit history year-by-year and are added together giving the new point total of 73 to company A.

Companies may not combine point totals to improve their standing unless they are separate divisions/units of the same parent company. This situation by definition, would call for one company contact and one financial billing entity. Manufacturing representatives may not combine companies they represent and choose space. Each individual company must stand on its own.

If you have questions regarding the priority space selection procedures, please contact the Sales and Event Services Representative, Dita Alexander, at (800) 687-7469 ext. 251.

Have a GREAT show!
